Bow Carpet Cleaning Terms and Conditions of Service

These Terms and Conditions set out the basis on which Bow Carpet Cleaning provides professional carpet and related cleaning services to residential and commercial customers in its service area. By booking a service, you agree that you have read, understood, and accept these Terms and Conditions, which form a binding agreement between you and Bow Carpet Cleaning.

1. Definitions

In these Terms and Conditions, the following expressions have the meanings set out below:

1.1 Client means the individual or organisation that books or receives cleaning services from Bow Carpet Cleaning.

1.2 Services means carpet cleaning and any other cleaning or related services agreed between the Client and Bow Carpet Cleaning.

1.3 Premises means the property or location where the Services are to be carried out.

1.4 Booking means a confirmed request for Services accepted by Bow Carpet Cleaning.

1.5 Technicians means employees, contractors, or representatives of Bow Carpet Cleaning who carry out the Services.

2. Scope of Services

2.1 Bow Carpet Cleaning provides carpet cleaning and related services, which may include upholstery cleaning, rug cleaning, stain treatment, deodorising and other add-on services, subject to availability and suitability at the Premises.

2.2 The exact scope of work will be agreed at the time of Booking. Any additional work requested on site, beyond what was originally booked, may be subject to additional charges and time availability.

2.3 Bow Carpet Cleaning does not provide building, repair, electrical, plumbing, pest control or any services outside the cleaning scope unless expressly agreed in writing.

3. Booking Process

3.1 Bookings may be requested by the Client via the available contact and enquiry channels, including online enquiry forms or other methods advertised by Bow Carpet Cleaning from time to time.

3.2 A Booking is only considered confirmed once Bow Carpet Cleaning has accepted the request and provided confirmation of the date, estimated time window, and price or pricing basis.

3.3 The Client is responsible for ensuring that all information provided at the time of Booking is accurate and complete, including the type and size of areas to be cleaned, property access details, parking arrangements, and any special requirements.

3.4 Bow Carpet Cleaning reserves the right to amend or refuse a Booking if the information supplied is found to be inaccurate or if the Services requested are not reasonably practicable.

3.5 Any estimated duration of work is for guidance only. Actual duration may vary depending on condition of the carpets, level of soiling, access, and any unforeseen issues at the Premises.

4. Prices and Quotations

4.1 Prices may be given as fixed quotes, estimates, or hourly rates depending on the nature of the Services.

4.2 Quotations are based on the information supplied by the Client. If, upon arrival, the Premises or items to be cleaned differ significantly from the description provided, Bow Carpet Cleaning may revise the price or refuse to carry out part or all of the Services.

4.3 All prices are stated in pounds sterling. Unless expressly stated otherwise, prices are inclusive of standard cleaning equipment, products and labour.

4.4 Any additional costs, including congestion charges, tolls, parking fees or permits required to access the Premises, may be charged to the Client.

5. Payments

5.1 Payment terms will be confirmed at the time of Booking. Bow Carpet Cleaning may require payment in advance, a deposit, or payment on completion of the Services, depending on the type and size of the job.

5.2 Acceptable payment methods will be advised by Bow Carpet Cleaning and may include card payments, bank transfer or other cashless methods. Cash may be declined at Bow Carpet Cleaning's discretion.

5.3 For residential Clients, unless otherwise agreed in writing, payment is due immediately upon completion of the Services on the day of the visit.

5.4 For business Clients with agreed credit arrangements, invoices are payable within the payment period stated on the invoice. If no period is stated, payment is due within 14 days of the invoice date.

5.5 Bow Carpet Cleaning reserves the right to charge interest on late payments at the statutory rate allowable under UK law and to recover all reasonable costs of debt collection.

6. Cancellations, Rescheduling and Access

6.1 The Client may cancel or reschedule a Booking by giving notice to Bow Carpet Cleaning. The required notice period will be confirmed at the time of Booking, but as a general guideline at least 24 working hours' notice is requested.

6.2 Where adequate notice is given, any pre-paid amounts may be applied to a rescheduled Booking or refunded, subject to Bow Carpet Cleaning's discretion.

6.3 If the Client cancels or significantly changes a Booking with less than the required notice, Bow Carpet Cleaning may apply a late cancellation fee. In some cases, this may be up to 50 percent or 100 percent of the quoted price, particularly where Technicians have already travelled or allocated significant time.

6.4 The Client must ensure safe and timely access to the Premises at the agreed time. If Technicians cannot gain access, or if the Premises are not in a suitable condition for the Services to commence, this may be treated as a late cancellation and subject to charges.

6.5 Bow Carpet Cleaning reserves the right to cancel or reschedule a Booking in the event of circumstances beyond its reasonable control, including but not limited to severe weather, illness, equipment failure, transport disruption, or safety concerns at the Premises. In such cases, Bow Carpet Cleaning will endeavour to agree an alternative appointment with the Client.

7. Client Responsibilities

7.1 The Client must provide accurate information about the Premises and any particular issues, including stains, pet odours, delicate fabrics, or previous cleaning treatments that may affect the Services.

7.2 The Client must ensure that the Premises are reasonably prepared for the visit, including clearing small items, breakables and personal belongings from areas to be cleaned, unless otherwise agreed.

7.3 The Client is responsible for providing safe access, including informing Bow Carpet Cleaning of any security, alarm or entry procedures, and for ensuring that electricity and water are available at the Premises.

7.4 The Client must notify Technicians of any known risks at the Premises, such as loose floor coverings, trip hazards, or health and safety issues.

8. Service Limitations and Results

8.1 While Bow Carpet Cleaning uses professional equipment and products, certain stains, odours or wear may not be fully removable. No guarantee can be given that any particular stain, mark or defect will be completely eliminated.

8.2 Some stains may have been set by previous cleaning attempts, chemical reactions, or long-term soiling, which can limit the effectiveness of cleaning methods.

8.3 The Client acknowledges that cleaning may sometimes reveal pre-existing damage, wear, fading, or colour loss not visible prior to cleaning. Bow Carpet Cleaning is not responsible for such pre-existing conditions.

8.4 Drying times will vary depending on carpet type, ventilation, temperature, humidity and other conditions. Technicians may provide an estimate, but actual drying times cannot be guaranteed.

9. Health, Safety and Conduct

9.1 Bow Carpet Cleaning is committed to safe working practices. Technicians may refuse to carry out or continue work if they reasonably consider that conditions at the Premises present a risk to health, safety or security.

9.2 The Client must not request Technicians to undertake any task that falls outside the agreed Services or that is unsafe or inappropriate.

9.3 Abusive, threatening, discriminatory or otherwise unacceptable behaviour towards Technicians will not be tolerated. In such circumstances, Bow Carpet Cleaning may immediately terminate the visit and no refund will be due.

10. Waste Regulations and Environmental Compliance

10.1 Bow Carpet Cleaning will handle and dispose of any waste it generates during the provision of Services in accordance with applicable UK waste and environmental regulations.

10.2 General household waste, personal items, bulk furniture, or other non-cleaning-related waste at the Premises are the responsibility of the Client and are not removed by Bow Carpet Cleaning unless specifically agreed as an additional service and where Bow Carpet Cleaning is lawfully permitted to do so.

10.3 Any chemical products used in the cleaning process are selected to be appropriate for the task and, where possible, environmentally considerate. Safety data sheets for cleaning products can be made available on request.

10.4 The Client must comply with any guidance provided by Technicians relating to ventilation of the Premises after cleaning, safe use of the areas cleaned during the drying period, and protection of children, pets or vulnerable persons from wet or treated surfaces.

11. Damage, Liability and Insurance

11.1 Bow Carpet Cleaning will exercise reasonable care and skill when providing the Services. In the unlikely event of accidental damage caused by Technicians, the Client must notify Bow Carpet Cleaning in writing as soon as reasonably possible and in any event within 48 hours of the incident or of becoming aware of the damage.

11.2 Bow Carpet Cleaning's liability for loss or damage arising out of or in connection with the Services is limited to the lesser of the cost of repair, the cost of replacement, or the amount actually paid by the Client for the Services leading to the claim.

11.3 Bow Carpet Cleaning is not liable for:

a. Normal wear and tear, pre-existing damage or defects to carpets, rugs, upholstery or other items.

b. Damage arising from faulty or insecure fittings, loose seams, frayed edges, weak backing, or colour instability.

c. Loss of profit, loss of business, loss of opportunity, or any indirect or consequential losses.

11.4 Nothing in these Terms and Conditions limits or excludes any liability that cannot legally be limited or excluded under UK law, including liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.

11.5 Bow Carpet Cleaning maintains appropriate insurance cover in respect of its business activities and will provide details upon reasonable request.

12. Complaints and Service Issues

12.1 If the Client is dissatisfied with any aspect of the Services, they should raise their concerns with Bow Carpet Cleaning as soon as possible, preferably within 24 hours of completion.

12.2 Bow Carpet Cleaning will investigate complaints in a fair and timely manner and may, at its discretion, offer to re-visit the Premises to assess and, where appropriate, rectify reasonable issues related directly to the Services provided.

12.3 A re-visit or rectification will not be offered where the issue arises from misuse, new damage, or failure by the Client to follow aftercare advice, including recommendations about drying times and subsequent use of the cleaned areas.

13. Data Protection and Privacy

13.1 Bow Carpet Cleaning collects and processes personal data relating to Clients and their bookings for the purposes of providing and managing the Services, handling payments, and meeting legal obligations.

13.2 Personal information will be kept secure and will not be sold or shared with third parties other than as necessary for the performance of the Services, processing of payments, or compliance with legal requirements.

13.3 By making a Booking, the Client consents to the use of their personal data for the purposes described in this clause, subject to applicable data protection laws in the UK.

14. Amendments to Terms

14.1 Bow Carpet Cleaning may update or amend these Terms and Conditions from time to time to reflect changes in law, industry practice, or business operations.

14.2 The version of the Terms and Conditions in force at the time of Booking will apply to that Booking. Any subsequent bookings will be subject to the Terms and Conditions current at the time of each booking.

15. Governing Law and Jurisdiction

15.1 These Terms and Conditions and any dispute or claim arising out of or in connection with them or the Services, whether contractual or non-contractual, shall be governed by and construed in accordance with the laws of England and Wales.

15.2 The courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms and Conditions or the Services.

16. General Provisions

16.1 If any provision of these Terms and Conditions is held to be invalid, unlawful or unenforceable, that provision shall be deemed deleted, and the remaining provisions shall continue in full force and effect.

16.2 No failure or delay by Bow Carpet Cleaning in exercising any right or remedy shall constitute a waiver of that or any other right or remedy.

16.3 The Client may not assign or transfer their rights or obligations under these Terms and Conditions without the prior written consent of Bow Carpet Cleaning.

16.4 These Terms and Conditions, together with the details of the Booking, constitute the entire agreement between the Client and Bow Carpet Cleaning in relation to the Services and supersede any prior discussions, correspondence or understandings.
